Document version control for a small business
Simple habits for avoiding the wrong contract, estimate, or brief.
Use one active location
Give each project one obvious current folder and move superseded copies into an archive subfolder. Do not rely on desktop copies or email attachments as the working version.
Name for people, not software
Use project, document type, date, and status: Johnson-Contract-2026-03-18-Signed. A consistent name makes visual checks and Windows search easier.
Verify the contents anyway
Good names reduce mistakes but cannot explain changed clauses. Use Sclerite to question and compare the authorized versions, then verify the cited files.
